Working with Applicant Folders

In this article we create a set of folders that would reflect a standard corporate deployment of Applicant Tracking. These folders will consist of:
- Incoming Applicants folder – this folder will contain applicants that have not been verified, and will be connected to an external career site.
- Qualified Applicants folder – this folder will contains applicants that have been reviewed, and that you wish to retain for future consideration. In a real deployment, there may be multiple folders for different areas such as executive, engineering, clerical, and industrial.
- Internal Applicants folder – this folder will contain internal staff applying for jobs, and will be connected to an internal career site. This folder will not be visible to internal managers, only to human resources staff.
Creating an Applicant Folder
Folders are created through the Settings tab.
1. Click the Setting Folder tab.
2. Click the Folders tab.
The empty folder list is displayed.
3. Click the New Folder tab.
The New Folder window is displayed.
Each folder has the following properties:
- Folder Name - The name you wish to give this folder.
- Folder Owner - The owner of the folder. If you don’t set any security other than the owner, only the owner will be able to see the folder. You can use this feature where recruiters have full “ownership” of their applicants.
- Folder Description - A longer description as to the purpose of the folder.
- Companies allowed to view this folder - List of companies, branches, and business units that are allowed to view the applicants in this folder.
- Companies allowed to modify this folder - List of companies, branches, and business units that are allowed to add new applicants to this folder, or edit existing applicants.
- Roles allowed to view this folder - List of roles that are allowed to view the applicants in this folder.
- Roles allowed to modify this folder - List of roles that are allowed to add applicants to the folder or edit existing applicants.
4. Set the folder properties as shown below:
This folder can be viewed and modified by anyone.
5. Click the Save button.
6. Click the Applicant tab.
The new applicant folder is displayed.
7. Create the additional folders shown below.
8. Click the Applicants tab.
The folder list is now displayed in the top right of the window.
If you do not have permission to see a folder, it will not be displayed in this list.
You will now create the applicant profiles that you will need before you can start to add applications to these folders.
