Tracking Contact Email within SmartSimple

You can track and store all outgoing and incoming email for each contact, provided you have set up your email account within SmartSimple.

If you don’t have an email account established you can still send email to a contact, however, any email you receive will not be available to be stored with the contact.

To use the contact email features, click on any person’s email address, regardless of the application or feature that you are using.

You will launch the Message center, allowing you to compose and send an email message.

Contact activities include all emails, as well as all other types of activities.

1. Click the My Contacts tab.

2. Click on any contact name.

3. Click on the contact’s email address.

The Message center is displayed.

The message center contains the following options:

  • Template List - A list of predefined message templates that you can use for your email.
  • Send By - You can choose to send the message either by email, or for internal users, you can use the Quick Message feature of SmartSimple.
  • Compose - Start a new message based on the selected template. If no template is selected, you will begin with a blank message.
  • Preview - Display the template in the bottom panel of the Message center window.
  • Close - Close the Message center.

4. Click the Sales template.

5. Click the Preview button.

A preview of the template is displayed.

6. Click the Compose button.

  • A new message is displayed using the selected template.
  • The contact email is set as the TO address.
  • Save As Event is enabled – this will store the email as a contact activity.

7. Click the Send button.

The email is sent and the contact window is displayed.

The email message is displayed as an event at the bottom of the window.

8. Click on the event.

The event is displayed.

9. Click the Email link.

The original email message is displayed.
