Sending Auto Email to Applicants

Overview

You can create any number of email templates and use these templates when communicating in bulk, or individually with applicants.

You can send email from SmartSimple without setting up your normal email account.

The messages you send will be routed through the SmartSimple server and not your mail sever.

In this article you will create a sample decline template.

Creating an Auto Decline Email Template

In this example you will create a decline template that can be automatically sent to the applicants you select, when you wish to tell them that they have been declined for a job.

To create a public template like this, you must be in a role with manager permissions for filters and templates.

1. Choose the Communications, Email menu.

2. Click the Templates tab.

3. Click the New Template tab.

The template window is displayed.

The following options are available:

  • Name - Template name as it will appear in the template list
  • Type - Two types are available – generic and Email Signature. Each user can have an Email signature that will be automatically appended to the bottom of each message that they create.
  • Private/Public- If you are in a role with manager permission to create global templates, then you can use this option to create a template, which can be used by everyone in the company. This option is not visible to people that do not have this manager permission.
  • Subject - The subject line of the template.
  • Body - The body of the message. All types of formatting are supported and you can copy and paste information from other programs (including images) into the body window.

4. Set the Name to Decline.

5. Set the Public/Private option to Public.

6. Set the Subject to Thank you for your application.

7. Set the Body as shown below:

A number of variables are used in this template – for a full list see the next article.

  • The @now@ will be replaced by sent date and time once the email is sent.
  • The applicant or applicant variables will be replaced with the details of the applicant.
  • The sender variables will be replaced by the details of the person sending the email.

8. Click the Save button.

The email template is saved.

This template can now be used whenever you wish to communicate a decline to an applicant or group of applicants.
