Personalizing Email Broadcast Messages

Overview
In this article you will see how to personalize each email so that each user receives an email containing information specific to them; such as name, company name, and address information.
1. Click the Applications, Email Broadcast menu.
2. Click the New Message tab.
3. Create the following sample message:

You will now add some variables to this message.
Adding Variables to an Email Message
You can add variables to the body of an email message. The following variables are supported:
- @firstname@ - First name of contact or lead
- @lastname@ - Last name of contact or lead
- @title@ - Title of contact or lead
- @email@ - Email address of contact or lead
- @phone@ - Phone number of contact or lead
- @address@ - Address of contact or lead
- @city@ - City of contact or lead
- @state@ - State/Province of contact or lead
- @country@ - Country of contact or lead
- @postalcode@ - Zip/Postal code of contact or lead
- @companyname@ - Company name of contact or lead
- @caddress@ - Contact address – not available for lead
- @ccity@ - Contact city – not available for lead
- @cstate@ - Contact state/province – not available for lead
- @ccountry@ - Contact country – not available for lead
- @cpostalcode@ - Contact postal code – not available for lead
- @cfax@ - Contact fax – not available for lead
- @cwebsite@ - Web site for lead – not available for contact
- @senderfirstname@ - First name of the sender
- @senderlastname@ - Last name of the sender
- @sendercompany@ - Name of sender company
- @senderemail@ - Email address of the sender
- @senderphone@ - Phone number of sender
- @sendertitle@ - Title of sender
- @now@ - Current date and time format selected by the user in their personal settings in a long date format.
Lead verses Account Variables
There are fewer fields available for lead information in the Sales Tracking application. If you use a contact field when sending an email broadcast, the fields will be blank.
Always broadcast to leads separate to contact.
You can click the View Variables link to see the variable list.
1. Click the View Variables link.
The Template Variables list is displayed.
2. Close the window.
3. Create the following message body:

Previewing a Message
You validate that the variables were correctly entered by previewing the message.
When you preview a message, your contact values are used.
1. Click the Preview button.
The message is displayed with your contact values inserted for each variable.
Setting the Sender Email Address
You can set the sender email address to any email address. But remember that all bounce backs, error messages, and responses to your email broadcast will be sent to this address.
The format of the address should be:
Testing a Personalized Email
If is very important to send the message to a few recipients before sending it to a large group.
1. Click the Message list tab.
2. Click the recipient number.
3. Use a Filter to locate your own profile.
4. Add yourself as a recipient.
5. Click the Send button.
If your email account is setup in SmartSimple, you can choose the Communications, Email menu, and access your email account to view the message.
