Creating an Email Broadcast Message
1. Click the Applications, Email Broadcast menu.
The Email Message list is displayed.
2. Click the New Message tab.
The New Message window is displayed.
The Message window consists of the following options:
- Name - The name of the message.
- Category - Category the message will fall under.
- Description - The narrative description of the message.
- From Address - The email name and address that the email will be sent from. Any bounce back or error emails will be delivered to this email address. It is not necessary for this email to refer to any existing SmartSimple users.
- Message Type - You can send a broadcast as a quick message to people in your copy of SmartSimple, or by email to any contacts or users in your copy of SmartSimple.
- Message Format - The email can be sent in a plain text format or HTML format. If you choose Plain Text you will not be able to apply any formatting. If you choose HTML you will be able to apply extensive formatting, but the recipient will need to have use as an email client capable of processing HTML.
- Save As Event - This option will store a copy of the sent email with each contact recipient. When you look at the contact events, all email broadcast messages will be displayed,
- Attachment - The file in a Smart Folder that you wish to attach to the message.
- Subject - The Subject line of the email.
- Body - The Body of the email.
- Last Updated - Date the message was last updated.
- Last Updated By - Who the message was last updated by.
Setting the Broadcast Options
1. Enter the following text.
2. Click the Save as Event option button.
- In this first example, the email will not be personalized to the recipient.
- It will be sent as plain text and stored with each recipient as an event.
Saving an Email Message
1. Click the Save button.
The email message is saved.
The Message list consists of the following options and settings:
- Send button - Broadcasts the message to all the recipients. You will receive an additional prompt to ensure that you do not send the email in error.
- Name - Name of the message – set in the Edit Message window.
- Edit button - Displays the Edit Message window.
- Copy button - Duplicates the email message and copies the recipients list from the copied email message.
- Description - Set in the Edit Message window.
- From - Person who the message will be from.
- Last Sent - Date the message was last sent.
- Last Updated - Date and time the message was last updated.
- Recipients - The recipient count indicates the total number of recipients that will receive the message.
- Reader log - If you have embedded an “open email” tracking link, you can review the names of each email reader, and the date and time that they read the email. If there are additional tracked links, these can also be monitored through the reader list. The Reader count is the total number of readers. If the same recipient opens the email multiple times, the reader list will show each time the email was opened, but the reader count will only indicate one reader.
2. Click the Edit button.
The Edit Message window is displayed.
The Email Tracker Status is displayed. You cannot use this feature when sending a plain text email.
Preview a Broadcast Message
You should preview any message before sending. Previewing is particularly important when you have created a HTML formatted email.
1. Click the Preview button.
2. Click the Close button.
Next you will select the recipients for this message.
